Campus Closure / Student Re-Enrollment Transition
Purpose: Move students from a closing campus to another campus while keeping enrollment, billing, and Brightwheel records organized and accurate.
## Step 1
Finalize the Receiving Campus Roster
Review the Enrollment Tracker.
Compare the roster with the receiving campus's actual capacity.
Mark students over capacity as Waitlisted (W).
Mark drop-in students as Drop-In (D).
## Step 2
Duplicate Brightwheel Profiles
Do not transfer student profiles in Brightwheel.
Create a new/duplicate profile for the receiving campus.
This preserves the original campus profile and its history.
## Step 3
Send New Enrollment Packets
For every student transferring to the receiving campus:
Send a new enrollment packet.
Collect a new signed application/contract.
Confirm the required enrollment documents are completed.
## Step 4
Prioritize Enrollment When Capacity Is Limited
When the receiving campus does not have enough available spaces:
Parent Pay families are prioritized first.
Subsidy families are considered after Parent Pay families.
## Step 5
Wait for Closure Announcement
Do not begin transfer or application activity until Rezin confirms through Slack that the parent closure announcement has been sent.
This confirmation is the required go-ahead before processing transfers.
## Step 6
Complete Re-Enrollment by the Deadline
All affected students must be fully re-enrolled at the receiving campus before the state licensing deadline.
