Purpose

Ensure every weekly strategy meeting ends with a quick, consistent request for client feedback using the 2-question anonymous Metasurvey link. Helps the ASC/host gather actionable insights, maintain service quality, and drive continuous improvement.

Scope

All Success Coaches, Assistant Success Coaches, and meeting hosts conducting weekly strategy meetings with clients.

When

At the very end of each weekly strategy meeting, before the client leaves the Zoom call.

Steps

Wrap up the meeting — Once the agenda is complete and action items are confirmed, transition to the closing step.

Ask for the survey — Host (ASC or SC) verbally requests during the live call. Keep the script short and standardized:

“Before we hop off, could you take 10 seconds to fill out this quick 2-question anonymous survey about today’s meeting? It helps us keep improving your support.”

Drop the link in chat — Paste this exact link into Zoom chat while the client is still present:

Confirm they received it “Just want to make sure the link came through—were you able to see it on your end?”

Encourage but dont pressure — If yes, thank them. If they’ll do it later, acknowledge professionally (“Perfect, thank you!” / “No problem at all—whenever you have a minute today works great.”).

Note compliance internally — Comment in the “Weekly Strategy Meeting” task for that client that the survey was brought up and sent (Worklenz is the live CVA task system).

Quality standards

Do this on every weekly strategy call — no exceptions.

Keep the script brief no rambling.

Link must be correct and active.

Tone: warm, confident, routine.

Treat as part of the official closing workflow.

Common mistakes to avoid

Forgetting because the conversation “ran long.”

Sending the link after the client leaves.

Rewording the script to sound hesitant (“Um… if you want…”).

Not confirming the link delivered in chat.

Overexplaining the survey — keep it tight.
