Contractor's Confidentiality Policy

1. Purpose

Much of the information related to your job is privy to the Company. Everyone needs the same understanding of what is public, what is not, and how to tell the difference. This policy covers that.

2. Scope

All Company stakeholders (contractors, business owners).

3. Why a confidentiality policy?

How Virtual Assistant (VA) services do what they do is core to our success. Keep Company data and knowledge as private as possible so the organization can continue to thrive. That includes legally binding / sensitive data and any information that gives us our competitive edge.

4. Our confidentiality policy

All VAs must sign and abide by our confidentiality agreement (or NDA). VAs cannot share information about our organization, its employees, or its customers without authorization.

Confidential information includes

  • Any unpublished information (financial or otherwise)

  • - Customer, partner, or vendor data

  • - Customer lists (lapsed, existing, and prospective)

  • - Data or information someone outside our organization has trusted us with (e.g. credit card information)

  • - Business strategies, company goals, or initiatives that have not been officially announced

  • - Anything explicitly marked confidential

If you have questions about what is confidential, ask your Project Manager.

5. How to keep confidential info safe

VAs must:

  • Delete sensitive documents when discarding

  • - Use secure devices and services to transfer confidential information

  • - Password-protect and encrypt all business documents on your devices

  • - Share protected information internally only when necessary

  • - Only share protected information with outside parties when authorized by Company

VAs must not:

  • Use confidential information for their own benefit

  • - Share information with unauthorized parties

  • - Make copies of secure documents or files

  • - Store protected information on personal devices

On termination: Return all confidential files to Company and delete any company files stored on personal devices even if they do not hold protected information.

6. When to share protected information

General rule: do not share protected information.

Exceptions may include: a government agency or public organization needs information for an audit or investigation; confidential data will help secure a new partnership (within legal guidelines).

In those cases, contractors sharing information must:

  1. Get written authorization from Company before sharing

  2. 2. Have all parties to whom the information will be disclosed sign an NDA

  3. 3. Document what information was shared and with whom

  4. 4. Document how it was disclosed

  5. 5. Share only what has been authorized and is absolutely necessary
