To provide a standardized process for answering parent questions consistently, professionally, and accurately using the Heritage Early Learning Center Frequently Asked Questions (FAQ) Guide. This SOP ensures that Billing Specialists and Enrollment Specialists provide the same information to every family regarding enrollment, tuition, billing, attendance, center policies, and general operations

Scope
This procedure applies to:
Billing Specialists
Enrollment Specialists
Administrative Staff

Virtual Assistants handling parent communications
Responsibilities
The assigned specialist is responsible for:
Responding professionally to parent inquiries.
Using the HCC FAQ Guide as the primary source of information.
Verifying account-specific details before providing answers.
Escalating questions that are not covered by the FAQ or require management approval.
Documenting important conversations when necessary.
## Step 1
Provide the Appropriate Response
Use the FAQ Guide as your primary reference.
Answer only the information supported by the guide.
Personalize the response based on the parent's account when necessary.
Explain policies clearly and professionally.
Avoid making promises or exceptions that are not documented.
## Step 2
Escalate When Necessary
Escalate the inquiry to the appropriate supervisor if:
The question is not addressed in the FAQ Guide.
A billing adjustment is requested.
A refund requires approval.
A policy exception is requested.
A complaint cannot be resolved.
A legal or licensing concern is raised.
Document the escalation in Brightwheel or ScalePilot if required.

Document the Interaction
Document the conversation when appropriate, especially for:
Billing concerns
Refund requests
Payment arrangements
Enrollment issues
Complaints
Policy exceptions
Escalated concerns
Include:
Date
Parent Name
Student Name
Summary of the inquiry
Information provided
Staff member handling the interaction
Follow-up actions, if any
## Step 4
Quality Assurance Checklist
Before ending the interaction, verify that:

☑ The information provided was accurate and consistent with center policies.
