# Hubtasks Weekly Stand-Ups
 
### PURPOSE
 
To ensure all PMs and team members submit a clear, accurate weekly snapshot of:
 
- Client health
 
- Work completed
 
- Risks
 
- Value delivered
 
This prevents:
 
- Invisible work
 
- Missed risks
 
- Underutilized clients
 
### FREQUENCY
 
- Weekly (End of Week – Friday or assigned day)
 
- Must be completed before end of shift
 
## ❶ Access Stand-Ups
 
- Log into HubTasks
 
- Click “Stand-ups” on the left sidebar
 
- Select the correct stand-up:
 
- Project Managers stand-up
 
- Directors Notes stand-up
 
- Or assigned team stand-up
 
## ❷ Add Client Meeting Recap
 
For the Director's stand-up, retrieve a recap from the client meetings held during the week from the Notebooklm system. Ensure all important points and decisions are noted clearly.
 
## ❸ Open Submission
 
- Click “Submit Update”
 
- Select the correct date:
 
- If submitting late → choose the correct past date
 
- Otherwise → click “Today”
 
- Remember, submissions are due by EOD Friday.
 
## ❹ Complete All Fields
 
Fill out every question in the form. Do not leave fields blank.
 
## ❺ Write Clear, Specific Answers
 
For each field:
 
- Use **specific client names**
 
- List **actual actions completed**
 
- Include **real outcomes or progress**
 
- Mention **any delays, blockers, or dependencies**
 
## ❻ Use This Format for Answers
 
Follow this structure in every response:
 
- Client Name – Action taken – Result or status
 
Example:
 
- Erica Burton – Completed payroll report and billing cleanup – Sent to client for review
 
- Daphne Williams – Scheduled tours and updated lead roster – Improved follow-up tracking
 
## ❼ Report Blockers and Delays
 
If applicable, clearly state:
 
- What is blocked
 
- Why it is blocked
 
- What is needed to move forward
 
Example:
 
- Stacey – Campaign launch delayed – Waiting on flyer approval
 
## ❽ Identify Work in Progress
 
List anything not completed:
 
- Task name
 
- Current status (In Progress, Waiting, Review)
 
## ❾ Confirm Accuracy
 
Before submitting, verify:
 
- All fields are completed
 
- All answers are specific and factual
 
- No vague or general statements are included
 
## ❿ Submit Update
 
- Review your responses
 
- Click “Submit Update”
 
## ⓫ Final
 
### SUBMISSION STANDARD
 
Each stand-up must:
 
- Include real client activity
 
- Reflect actual work completed
 
- Identify any delays or dependencies
 
- Be clear enough that leadership can understand status without follow-up
 
### UNACCEPTABLE RESPONSES
 
Do not submit:
 
- “None” across multiple fields
 
- “Everything is good”
 
- “No updates”
 
- General or unclear statements
 
If no work was completed, explain why.
 
### FINAL EXPECTATION
 
A completed stand-up should:
 
- Take 5–7 minutes
 
- Accurately reflect the week’s work
 
- Provide a clear picture of progress and status
