Managing a Traveling Mailbox (end-to-end)

## Route Mail

Use the unique Traveling Mailbox street address as the single source of truth. Update senders (banks, vendors, licensing, IRS/state agencies, subscriptions). File a USPS change of address if needed so legacy mail routes there.

## Default Rules

In Traveling Mailbox settings, set defaults: scan envelope exterior; auto-open and scan contents for gov/banks when appropriate; hold vs shred vs forward by category (personal / business / legal).

## Daily or Weekly Triage

When new mail appears: review the envelope scan, then choose Open & Scan Contents, Forward, Shred, or Hold. Best practice: 5–10 minutes daily or 2–3 times per week.

## File PDFs

Download scanned PDFs into the system of record (or use integrations). Folder example: Mail / 2026 / 01-January / Vendor Name. Tags: Action Needed / FYI / Compliance / Finance / Legal.

## Checks

For paper checks, use check forwarding or the preferred deposit workflow. Log date, sender, amount, action, and bank confirmation.

## Batch Forwarding

Select Hold items, submit one shipment weekly/biweekly, and document shipment date, carrier, tracking, and contents list.

## Security

Turn on arrival notifications. Treat the mailbox as sensitive intake. Retain compliance/legal docs by policy; otherwise scan, store, then shred or hold.
