Purpose
Manage recruitment activities through ZipRecruiter by posting job openings, reviewing applicants, conducting pre-screening interviews, coordinating interviews with school leadership, updating applicant records, and ensuring timely communication.
Roles
Project Manager (HR Support): Manage job postings, review applications, contact candidates, conduct pre-screening interviews, schedule interviews, maintain applicant records, and provide hiring updates to Ms. Sonya.
Ms. Ralphanee: Conduct initial Zoom interviews for qualified candidates.
School Directors/Site Administrators: Conduct final interviews and evaluate candidates.
Ms. Sonya Hickey: Review recommendations, approve selected candidates, and make final hiring decisions.
Daily Responsibilities
Review new applicants in ZipRecruiter.
Respond to candidate messages.
Contact qualified applicants by phone, text, or email.
Conduct pre-screening interviews.
Schedule qualified candidates for Zoom or final interviews.
Update the Applicant Tracker.
Record interview outcomes and candidate notes.
Send interview reminders.
Follow up with candidates after interviews.
Close or archive inactive applications.
Weekly Responsibilities
Review all active job postings.
Refresh or repost jobs when needed.
Monitor applicant flow and hiring progress.
Submit recruitment updates to Ms. Sonya.
Review recruitment metrics and outstanding hiring needs.
1. Log In to ZipRecruiter
Log in to the Village of Shiny Stars ZipRecruiter employer account using the assigned company credentials. Confirm that you are accessing the correct employer account before performing recruitment tasks.
2. Open the Employer Dashboard
Review active job postings, new applicants, candidate messages, and hiring activity. Refresh job postings when necessary to maintain visibility.
3. Review Job Postings
Confirm that each active advertisement has the correct:
Job title
Current job description
Hiring location
Pay range and schedule
Application activity
Update or repost job listings as instructed by Ms. Sonya.
4. Screen New Applicants
Review each applicant against the job description and minimum qualifications. Evaluate:
Childcare experience
Education
Certifications, if applicable
Availability
Location
Overall qualifications
Reject applicants who do not meet minimum hiring requirements.
5. Contact Qualified Candidates
Contact qualified applicants through ZipRecruiter messaging, phone, text, or email. Provide position information, a brief overview of the hiring process, and availability for a pre-screening interview.
6. Conduct the Pre-Screening Interview
Use the approved Pre-Screening Interview Form. Verify work experience, availability, desired location, childcare experience, and communication skills. Determine whether the candidate should proceed to the next stage.
7. Schedule the Interview
Schedule qualified candidates for the next interview with school leadership. Provide the date and time, interview location or Zoom link, interview instructions, and any required documents.
8. Update the Applicant Tracker
Record all recruitment activities, including candidate status, interview dates, notes, follow-up actions, and final disposition.
9. Send Interview Reminders
Send reminders before scheduled interviews and confirm attendance, time, and required documents.
10. Monitor Recruitment Daily
Throughout the day, monitor new applications, respond promptly to messages, review newly received resumes, contact qualified applicants, and update recruitment records after each activity.
11. End-of-Day Review
Before ending the workday:
Verify all new applicants have been reviewed.
Ensure candidate communications are complete.
Update the Applicant Tracker.
Document outstanding follow-ups.
Prepare recruitment updates for the End-of-Day Report to Ms. Sonya.
Expected Outcome
Job postings remain active and current, qualified applicants are contacted promptly, interviews are scheduled efficiently, applicant records remain accurate, and hiring progress is communicated to leadership.
