Confirm monthly, by the fifth business day, that each client’s OneDrive contains current, complete, organized, and appropriately secured project documentation.
Audit Steps
1. Client folders: Confirm every active client and project has an organized folder and files are under the correct client/project.
2. Documentation: Confirm current working files and completed deliverables are uploaded. Identify files stored only in email, chat, or on an employee device.
3. Organization: Confirm clear names, distinguish drafts from final versions, and remove or archive duplicates after verification.
4. Access: Confirm confidential files are restricted and access is limited to people who currently need it.
5. Follow-up: Assign each issue an owner and due date. Correct routine issues within three business days; immediately escalate missing deliverables, unauthorized access, or confidentiality concerns.
Records
Record audit date, client/project, missing/outdated/misplaced documents, access concerns, assignee, due date, and completion status. The audit is complete when all active folders are reviewed, corrections are assigned, and serious risks are escalated.
