OneDrive Client Storage and Sharing

Purpose

Create, name, maintain, and share client information consistently so completed work has a permanent, secure, retrievable location.

Naming and Location

Use the approved client repository and the exact convention Client First Name Last Name – Business Name across OneDrive and Worklenz. Start from the approved client-folder template, verify no duplicate exists, and retain the standard subfolders. Do not create alternate storage or rename standard folders without approval.

File Handling

Save completed documents, projects, reports, spreadsheets, presentations, forms, policies, graphics, pictures, marketing materials, client-provided documents, approved deliverables, and appropriate meeting or onboarding records in the client folder. Worklenz manages the task; OneDrive retains the work.

Before marking file-based work complete, review the final version, use a descriptive name, save it in the appropriate subfolder, and link it to the task when appropriate. Avoid names such as Final, Document1, or Copy of Copy.

Access and Maintenance

Share externally only after confirming the correct folder, access level, and absence of internal-only records. Keep folders current, remove obvious duplicates when appropriate, and do not maintain the only copy locally.

During offboarding, review for complete deliverables, move client-owned files from other locations, remove internal-only information, verify files open and are organized, provide approved client access, and preserve/archive the folder according to retention requirements. Never include credentials, internal staffing records, or other confidential internal information in a client package.
