Purpose and Scope
Keep the My Food Program (MFP) enrollment roster aligned with Procare, including enrollment/withdrawal dates, schedules, and meal participation.
Frequency: Complete daily whenever new enrollments or withdrawals occur, and whenever the client directs a roster review.
Procedure
Open the current Procare enrollment roster through the approved access method.
Export active enrollment data with child name, enrollment date, withdrawal date when applicable, scheduled attendance days/times, and meal times.
Open MFP’s Enrollment & Roster area and compare each Procare child with the corresponding MFP profile.
For each child, verify the enrollment date against the official enrollment form. Enter the accurate withdrawal date for children who have left.
Confirm meal participation and scheduled meals match Procare and the enrollment form. Correct mismatches only from verified source records.
Identify children in Procare but missing in MFP; add them using the approved enrollment documentation.
Identify children still in MFP who no longer appear in Procare; process the appropriate inactive/withdrawal update.
Save MFP changes and retain the updated roster/export in the approved location.
Notify the designated client contact that new enrollments, withdrawals, and meal-participation updates are complete. Include unresolved discrepancies and next actions.
