Professionalism Policy (Staff and Clients)

Purpose and Scope

Set expectations for respectful, transparent, accountable, ethical interactions among staff, clients, and stakeholders. It applies to employees, contractors, and representatives, including VAs.

Core Values

Integrity, respect, accountability, confidentiality, and fairness guide all work. Staff must communicate honestly, protect sensitive information, acknowledge mistakes promptly, meet commitments, collaborate, and keep personal issues from disrupting responsibilities.

Client and Team Conduct

Provide accurate information without unfulfillable promises, respect privacy, respond promptly and courteously, avoid discrimination, and maintain an appropriate virtual presence. Clients and staff are expected to use clear, constructive communication, respect time and boundaries, and avoid harassment or unfair treatment.

Management and Reporting

Managers lead by example, provide conduct training, and address violations promptly and fairly. Report unethical behavior or mistreatment to a supervisor or HR through approved confidential channels. Investigations should be impartial, protect privacy, and prohibit retaliation.

Violations may result in warnings, suspension, or termination. Maintain an inclusive, safe environment with cultural sensitivity, equitable treatment, work-life balance, constructive feedback, and zero tolerance for harassment or mistreatment.
