Reduce paper handling by digitally filing incident reports while maintaining required physical immunization records.
## Record-Keeping Rule
- **Incident reports:** digital filing is preferred; retain physical copies in the designated box.
- **Immunization records:** maintain the required physical copy; digital filing does not replace it.
## Incident Report Filing
1. Receive the completed incident report at the campus.
2. Scan the report.
3. Confirm every page is included, readable, in the correct order, and complete.
4. Request a new scan if any page is missing or unreadable.
5. Send the verified scan to Faith Javillo for digital filing.
6. File the scan according to the center’s established digital filing structure.
7. Place the physical copy in the designated records box.
## Immunization Record Filing
1. Receive the immunization record.
2. Verify that the physical copy is complete.
3. Place it in the required physical file.
4. Do not treat a digital copy as a replacement for the required physical record.
## Quality Check
Confirm that incident reports are accessible in the digital filing structure, physical incident copies are boxed, and immunization records remain in the required physical file.
