1. PURPOSE
This SOP outlines the process for scheduling and posting daily social media content for Bright Minds Learning Center (BMLC) and Play to Learn Childcare (PLC). It ensures consistency, theme alignment, and timely posting across all platforms.
2. SCOPE
This procedure applies to all team members responsible for:
Reviewing weekly themes/focus
- Scheduling daily posts
- Uploading graphics and captions
- Ensuring both BMLC & PLC pages receive consistent content
- Managing posting tools or platforms
Covers content for:
Facebook
- Instagram
- Other approved platforms
3. RESPONSIBILITIES
Social Media Manager / Content Scheduler:
Reviews weekly content plan
- Uploads and schedules posts Monday–Friday
- Ensures correct accounts (BMLC & PLC) are used
- Ensures posting time consistency
Graphic Designer: Provides final, approved graphics on time.
Client / Center Director: Confirms weekly themes and approves content.
4. REVIEW WEEKLY THEMES/FOCUS
Check the confirmed weekly or monthly themes provided (e.g., Enrollment, Summer Camp, Hiring, Safety Week, STEM Week).
2. Match each daily post to the correct theme.
3. Ensure the content calendar for the week (Monday–Friday) is complete and approved.
5. PREPARE POSTING MATER## 6. LOG INTO ACCOUNT MANAGEMENT TOOLS
Use Metricool scheduling platform.
1. Log in using the correct account:
- BMLC Facebook / Instagram
- PLC Facebook / Instagram
2. Verify page access before scheduling to avoid posting errors.
7. SCHEDULE DAILY POSTS (MONDAY TO FRIDAY ONLY)
For each post:
1. Schedule posts Monday–Friday, no weekend posts.
2. Recommended times: 8:00 AM–10:00 AM or 5:00 PM–7:00 PM (based on engagement).
3. Keep timing consistent for both BMLC & PLC unless instructed otherwise.
4. Upload the final approved design and ensure sizing fits Facebook & Instagram formats.
5. Paste the caption including hook, emojis, main message, CTA, and hashtags. Double-check spacing, line breaks, and emoji visibility.
6. Add alt text (optional but recommended), such as “Children doing a STEM sensory activity in the classroom.”
7. Tag the correct center location (BMLC or PLC), if applicable.
8. Review correct spelling, image, account, time/date, hashtags, and CTA.
9. Click Schedule (not “Post Now”). Repeat for all 5 weekday posts.
8. DUPLICATE POSTING FOR BOTH CENTERS
If the same content applies to both BMLC and PLC:
- Upload separately to ensure branding stays correct.
- Adjust captions if needed for center-specific names.
- Use center-specific CTAs (e.g., “Call BMLC…” vs “Call PLC…”)
9. MAINTAIN A POSTING TRACKER
After scheduling, update the weekly posting tracker with post title/topic, theme of the week, scheduled date & time, status (Scheduled / Posted), and notes for adjustments.
10. QUALITY CONTROL BEFORE THE WEEK STARTS
By Monday morning, review all scheduled posts, graphics, captions, and correct distribution between centers (BMLC & PLC). Ensure there are no weekend posts unless instructed by the client.
11. MONITOR POSTS (OPTIONAL)
During the week, check for successful publishing, respond to failed uploads or format errors, and notify the client if a post fails and needs reposting.
12. SAVE WEEKLY CONTENT IN SHARED DRIVE
Create a folder using: CenterName_SocialMedia_WeekOf_MMDD. Include the captions file, graphics folder, content calendar, and optionally screenshots of scheduled posts.
CHECKLIST (QUICK VERSION)
Before scheduling: Weekly content approved; graphics ready; captions finalized; posting schedule confirmed.
During scheduling: Correct center account used; graphic uploaded; caption pasted correctly; hashtags present; CTA included; scheduled for Monday–Friday only.
