Social Media and Branding Policy

Scope

Applies to VAs, EAs, SPMs, Specialty VAs, and graphics/content staff who create, schedule, or publish social media or marketing materials for Allied Assist clients.

Policy Guidelines

1. Brand consistency: Follow each client's approved brand kit. Obtain approval for deviations and stock imagery.

2. Content creation: Keep captions professional, clear, and error-free. Attach proofs or drafts to tasks before client delivery. Human-review AI-generated content.

3. Review and approval: Move posts to Ready for SPM Review, document client approval in task comments, and resubmit requested edits for final approval.

4. Scheduling and posting: Follow the approved content calendar and use approved scheduling tools. Log last-minute changes and confirm the correct account. Log out after posting.

5. Documentation: Record client communications, agreements, and daily scheduled/published-content updates in task comments.

Prohibited Actions

Do not use personal social accounts, publish without documented approval, alter brand assets without permission, or stay logged into multiple client accounts while posting or scheduling.

Accountability

Incorrect, unapproved, off-brand, or misdirected posts may result in corrective or disciplinary action, including removal from client accounts or termination of engagement. Review this policy annually.
