Standard Operating Procedures New Student Enrollment Processing

## Purpose and Scope

Enroll a new childcare client by collecting required documentation, reviewing it for completeness, confirming placement, and securing the child’s record before the start date.

## Procedure

1. **Initial inquiry and tour.** Log the inquiry, schedule a virtual or in-person tour, answer parent/guardian questions, and provide the enrollment packet.

2. **Collect the packet.** Confirm receipt of the enrollment application, medical statement, immunization records, emergency contacts, emergency-care authorization, pick-up authorization, consent forms, medication forms when applicable, CACFP form, handbook acknowledgment, transportation agreement when applicable, and income verification when applicable.

3. **Review documents.** Check completeness, signatures, current health records, allergies/medications, emergency contacts, and permissions. Request corrections for missing or conflicting information.

4. **Confirm enrollment.** Enter child and parent information in the approved enrollment system, assign the classroom/schedule, send welcome communication, add the child to the CACFP roster, and notify the lead teacher of the start date.

5. Prepare the first day. Prepare the cubby and classroom materials, add name labels, print emergency contacts for the classroom binder, and review drop-off/pick-up, communications, daily schedule, and classroom expectations with the family.

6. Secure records. File paper records in the child’s secure folder and upload digital forms to the approved electronic record. Limit access to authorized staff.

7. Close the checklist. Confirm all documentation, placement, communication, and first-day actions are complete before marking enrollment ready.
