## Purpose
Submit weekly attendance and registration fees for CAPS-funded students accurately and on time so scholarship eligibility and client payments remain current.
## Scope and Cadence
This procedure applies to authorized CSA staff submitting attendance for enrolled CAPS students across provider locations.
- Verify attendance in Playground: Monday
- Submit attendance in CAPS: Monday–Tuesday
- Follow up on expired certificates: Tuesday
## Before Submission
1. Connect to the approved VPN when required for secure access.
2. Open the official CAPS provider portal.
3. Use the approved password manager; do not store or share passwords in this SOP.
4. Select **Go to Provider List** and open the correct location.
## Submit Attendance
1. Select **Submit Attendance** and choose **Previous Week**.
2. Confirm the provider was open during the week.
3. For each student, select attendance for Monday–Friday as applicable and check the **Registration Fee** box.
4. Choose the correct attendance type, such as **BA (Before/After Care)** or **PT (Part-Time)**, based on the approved schedule.
5. Select **Save** and confirm that **Saved** appears beside each student.
6. If an error occurs, follow the approved correction path. Record students who cannot be saved and escalate expired certificates or end-of-care dates.
Finalize Each Location
• Verify that every eligible student has the registration fee selected and saved.
• Confirm attendance types and checkboxes.
• Complete the portal’s confirmation boxes and select Submit.
• Return to the provider list and repeat for the next location.
Verification and Quality Control
Use Playground’s attendance report for the Monday–Friday date range to compare against the submission. Confirm:
• All students show Saved before submission
• Attendance type is correct
• Registration fees are selected and saved
• Expired scholarships are logged and families notified
• VPN/security requirements were followed
• Skipped students and portal errors are recorded
Submit one location at a time and escalate recurring issues to the CSA Operations Lead.
