# Update Meal Counts & Menus — KidKare + Procare (Kenya Johnson)
Purpose
Update daily meal counts and menus in KidKare for Kenya Johnson’s CACFP work, and keep Procare menus aligned to the same meal plan.
Scope and Roles
Teachers / classroom staff: enter daily meal counts and served items.
- Kitchen / food-program staff: add or update menu items and recipes.
- Director / office manager: review reports and final claims.
Prerequisites
KidKare and Procare access via the organization’s password manager (never store passwords in tickets).
- Current enrollment and planned weekly/monthly menu ready.
Daily: meal counts in KidKare
Sign in to KidKare and select the correct site/center.
2. Go to Food Program → Daily Meal Counts (or Meals & Attendance).
3. Select the date and meal period (Breakfast, AM Snack, Lunch, PM Snack, Supper).
4. Mark which children were present and received the meal. If a child was present but did not eat, leave unchecked and note why if required.
5. Add or select the pre-saved menu for that date/meal when the whole group shared the same menu.
6. Confirm CACFP components (milk, fruit/vegetable, grain, meat/alternate). Ensure grain is toggled on when the meal includes grain.
7. Save/Submit. Repeat for each meal period.
8. Correct mistakes with Edit and a short note. End of day: run the Daily Meal Count Report and match totals to class rosters.
Rules: Never claim a reimbursable meal for a child who was absent or did not take required components. If teachers use the KidKare mobile app, confirm sync. Cross-check kiosk/PIN attendance when used.
Weekly/monthly: menus in KidKare
Sign in, select the site, open Menu / Menu Planner.
2. Add or edit the menu for the date or date range.
3. For each meal period, add items and assign CACFP components; include serving sizes/recipe notes when tracked.
4. Prefer saved recipes / Add Saved Menu for repeats; use Copy to Multiple Dates when entering a week.
5. Run a Menu Compliance Report (or preview) and fix missing components.
Procare menu alignment
Mirror the same planned meals in Procare’s menu tools for the matching date range so families and staff see the same CACFP meal plan reflected in both systems. After KidKare menus are saved and compliance-checked, update Procare and spot-check that meal names and dates match.
