Weekly Grocery Shopping List

## Purpose and scope

Create accurate weekly grocery lists for each assigned childcare center, using enrollment counts and the approved menu. Generate a PDF for delivery by the weekly deadline and document completion.

## Required inputs

- Approved menu or menu/grocery-list template

- Current enrollment counts by age group: infants, toddlers, preschool, and school-age

- Center list and week/shop date

- Confirmation of no changes when the menu or counts are unchanged

## Procedure

1. Gather the approved menu, current age-group enrol

  1. Review each item and total, then repeat the calculation separately for every center. Do not combine centers unless the assignment explicitly requires it.

  2. 7. Open Tools → My Shopping List, select the completed list, and generate the PDF.

  3. 8. Check the PDF for the correct center, week/date, menu items, age-group quantities, and totals. Correct the source list and regenerate the PDF if anything is wrong.

  4. 9. Attach the PDF(s) to the approved client communication. Use the subject Weekly Grocery List – Week of [date]. When multiple centers are assigned, send all verified PDFs together.

  5. 10. Deliver by Thursday afternoon or the current client deadline, then update the assigned task with the centers, date, files delivered, and any unresolved issue.

  15. - [ ] Task notes updated; no credentials recordedlment counts, and any change or no-change confirmation. Resolve missing or conflicting inputs before calculating quantities.

2. Open the USDA Food Buying Guide web tool and select **Tools → Create Shopping List**.

3. Name the list for the center and enter the week’s shopping date, normally Friday or the date provided by the client.

4. Add the menu items under the applicable categories: milk, grains, fruits, vegetables, and meats/protein.

5. For each item, enter one quantity for each age group served by that center. Enter the serving size and number of children; use the tool’s calculated totals.
